About us

The Professional Services Hub (PS Hub) brings together professional services staff who are responsible for a variety of customer facing and back-office service activities. The PS Hub is committed to delivering high quality and efficient services, with an emphasis on customer experience. Reporting to the HR Services Team Leader - Compliance, the HR Services Compliance Officer is responsible for ensuring HR Services and UCL remain compliant across HR Services administration, Right to Work and immigration processes and that data held by HR Services is of a high standard.

About the role

The role involves ensuring that all HR processes comply with a wide range of legal and regulatory obligations, including UK Visa and Immigration legislation, Disclosure and Barring checks, GDPR legislation, and HMRC requirements. You will be responsible for ensuring that all legal documents produced by the team, such as contracts of employment and payslips, meet the necessary compliance standards.

In this position, you will provide expert HR compliance advice and guidance to HR administration teams, ensuring that HR policies and procedures are followed accurately. This includes maintaining the integrity and quality of the data held by HR Services, offering clear and consistent advice on compliance activities, and ensuring that processes across the HR services are in line with UCL policies and legal obligations.

Key responsibilities include monitoring the accuracy of data within HR systems and overseeing the completion of processes in accordance with legal and institutional requirements. You will also be responsible for scheduling, running, and monitoring reporting to ensure Right to Work compliance, as well as administering Skilled Worker Route and Government Authorized Exchange visa applications, including the processing of Certificates of Sponsorships when necessary. Liaising with UCL's external immigration provider will also be a key part of your role.

Additionally, you will ensure that staff pay data is accurate and compliant with UCL policies and UK legislation, and you will undertake Disclosure and Barring checks when needed, coordinating with external service providers to ensure compliance. You will assist in preparing for both internal and external compliance and payroll audits at UCL.

Building strong, positive relationships with customers, departmental contacts, and Professional Services colleagues will be essential to this role, helping to create a reliable working environment that supports business needs. You will also have the opportunity to participate in various projects aimed at driving HR strategy, improving systems, and reviewing processes for better efficiency and compliance.

About you

You have GCSEs (A-C) in English and Maths or equivalent experience. You're skilled in using HR and payroll databases, with experience in end-to-end employment processes. You have a strong understanding of UK Right to Work legislation, DBS guidance, and payroll cycles, particularly within large organizations.

With experience in audits, you stay updated on changes in legislation and maintain high accuracy and attention to detail. You're a team player with excellent time management, able to prioritize effectively. You communicate policies clearly, analyze data efficiently, and take an analytical approach to improving processes and policies.
