Position Overview:
The Afinida Compliance Specialist will routinely interact with clients to engage and educate on PEO services and support and will assist in the compliance set-up of new clients as they enter the PEO. The Compliance Specialist will also interface with state-level and national agencies to ensure all registration and renewal activities are done correctly and on time. This role will also work with clients to complete their weekly payroll activities, ensuring accurate processing and recording of ongoing payroll by providing timely and accurate financial information, participating in daily data entry and general payroll processing, and ensuring the highest level of customer service is delivered to all clients and employees.

This role will also work with clients to complete their weekly payroll activities, ensuring accurate processing and recording of ongoing payroll by providing timely and accurate financial information, participating in daily data entry and general payroll processing, and ensuring the highest level of customer service is delivered to all clients and employees.
Supervisory Responsibilities:
- None
Payroll Processing-
- Performing daily payroll department administrative activities;
- Managing workflow to ensure all payroll transactions are processed accurately and timely;
- Reconciling payroll prior to transmission and validating confirmed reports;
- Understanding proper taxation of employer paid benefits;
- Processing correct garnishment calculations and maintaining compliance;
- Processing accurate and timely year-end reporting when necessary (W-2, W-2c, etc.);
- Entering, maintaining, and/or processing information in the payroll system. Information may include employees' hourly rates, salaries, commissions, bonuses or other compensation, time worked, paid leave and holidays, deductions and withholding, address changes, and other information;
- Ensuring proper processing of payroll deductions for taxes, benefits, charitable contributions, and other deductions;
- Issuing, or reissuing, physical or replacement checks or direct deposits due to payroll errors or final discharge;
- Completing other duties as assigned or needed by management.
- Running and producing complex reports to show current and historical status of the organization;
- Completing assigned org-wide projects in conjunction with the goal of the Client Service Team;
- Assisting in the set-up and maintenance of client feedback platforms and management update loops;
- Reviewing and understanding client Onboarding Call recaps to ensure client onboarding support;
- Reviewing mail and communications from local, state and federal agencies to identify action items;
- Communicating with and reaching out to local, state and federal agencies to ensure renewal of licensure proceeds smoothly;
- Pulling complex reporting data for submission to required agencies;
- Maintaining current data on new and terminating clients so that
- Producing weekly, monthly and quarterly reports for the needs of the Client Service Manager;
- Completing other duties as assigned or needed by management.
- Excellent verbal and written communication skills;
- Excellent interpersonal and customer service skills;
- Proficient in Microsoft Office Suite, specifically Excel;
- Excellent organizational skills and attention to detail;
- Basic understanding of clerical procedures and systems such as record keeping and filing;
- Project Management skills;
- Ability to successfully navigate legal and compliance updates that might impact PEO licensure;
- Ability to work independently.
- Bachelor's Degree in Accounting, Finance, Administration or similar highly preferred;
- 4-7 years' experience processing multi-state payroll;
- Prior working experience with Prism, or similar operation system, preferred;
- Working knowledge of payroll and employment law best practices;
- Strong knowledge of federal and state regulations;
- Strong PC skills including proficiency in Excel;
- Strong work ethic and team player;
- High degree of professionalism;
- Ability to deal sensitively with confidential material;
- Strong interpersonal (verbal and written) communication skills;
- Ability to communicate with various levels of management;
- Previous PEO or multi-entity experience essential;
- Decision-making, problem-solving, and analytical skills;
- Organizational, multi-tasking, and prioritizing skills.
- While performing the duties of this job, the employee may be regularly required to stand, sit, talk, hear, reach, stoop, kneel, and use hands and fingers to operate a computer, telephone, and keyboard;
- Specific vision abilities required by this job include close vision requirements due to computer work;
- Light to moderate lifting may be required;
- Regular, predictable attendance is required; including quarter-driven hours as business demands dictate;
- Moderate noise (i.e., business office with computers, phone, and printers, light traffic);
- Ability to work in a confined area;
- Ability to sit at a computer terminal for an extended period.
