CBRE Global Workplace Solutions is a leading global provider of integrated facilities and corporate real estate management. We are currently recruiting an EMEA CMMS Compliance Manager to join our global account team based in London. The successful candidate will be responsible for the delivery of all aspects of the CMMS and Damstra/Assure scope of services to ensure a consistent and high-level service delivery through developing an excellent relationship (partnership) with external suppliers and CBRE team members across the EMEA portfolio.
Key Responsibilities
• Ensures system, software, training, and reports accurately and effectively function with the most current versions and applications. Participates in requisite CMMS (Si7) training and education and keeps abreast of software changes in order to remain informed on its use and function.
• Coordinates the planning, design and establishment of data entry standards used in the CMMS. Establishes, reassigns, revises or deletes records in key data tables in response to system user requirements as applied through use of department policies and standards.
• Coordinates with Engineering, Operations, Key vendors, and CMMS users to facilitate the importing and exporting of equipment, inventory and other data.
• Designs and creates reports and other reporting tools used in work order and inventory analysis graphs. Using data to provide trending reports and verification against MyVantage.
• Provide effective coordination to ensure contractual commitments are met and exceeded.
• Ensure compliance with record keeping for CBRE Managed Services ISO 9002 Quality Management System and the WO2 Assurance framework;
• Review all service reports for any follow-up works requirements and record appropriately on share point;
• Arrange PPM visits for all EMEA offices, ensuring engineering change management procedures are completed two weeks in advance of due date;
• Ensure that all M&E statutory compliance records are kept current, updated and available;
• Assist with the production of schedules and action plans for rectifications of non-conformities (both statutory and non-statutory) noted by specialist subcontractors, providing a full audit record trail;
• Assist with management of the Service Insight asset records and PPM schedule;
• Ensuring business policies and processes are effectively communicated and implemented within the contract.
• Ensure the provision of healthy and safe working conditions and that both clients and Company health and safety policy and process is effectively implemented across both CBRE Managed services and subcontractors activities and are regularly reviewed.
• Ensure appropriate control systems to ensure statutory, policy and contractual commitments are met.
• Scheduling and preparation of CRQ, RAMS and access requests for all maintenance PPM's across CBRE EMEA portfolio
• Ensuring a customer focus within all areas of operational activities, and that effective relationships are maintained with key client contacts.
• Promoting and maintaining the core Values of CBRE Managed Services.
• Utilise skillsets of the CBRE Team by delegating tasks within their capability to assist with operational tasks.
• Upkeep and regular integration of Damstra, point of contact for all queries and delivery of Assure training to third party suppliers.
• Upkeep of WebCore - To efficiently gather and organise space usage data for accurate analysis and liaison with site contacts
• Prepare Monthly Reports: Compile the analyses into clear, comprehensive monthly reports. These should include: Summary of findings, Site response for monthly rent reconciliation, Detailed analysis of space usage trends
Person Specification
• Strong working knowledge of CMMS systems (preference Service Insight but not essential)
• Strong personality in order to build relationships with clients, overseas vendors and stakeholder
Skills Required
• Demonstratable experience with emphasis on CMMS systems and where possible Assure/Damstra
• Excellent interpersonal skills
• Demonstrable Health & Safety knowledge and/or experience
• Ability to motivate and negotiate effectively with key vendors, and operational groups to take desired action.
• Demonstrate an ability to solve complex problems and deliver a variety of options
