The Vacancy
We are looking for a detail-oriented and proactive individual to join our team for an essential administrative role focused on electronic filing and state-specific reporting. This position involves managing various efiling tasks such as submitting WH & UI Forms, W-2s, W-2Cs, and 1099s across multiple states, as well as collaborating with our programming department to troubleshoot and test new state filing systems. You'll also be responsible for processing ACH transactions, verifying client information, and ensuring accurate filing for tax periods. Main Responsibilities
- Electronic filing and acknowledging of multiple states WH & UI Forms
- Electronic filing of W2s, W2Cs and 1099s
- Register with new states for electronic filing
- Testing of uploading files with new states and collaborating with our programming department
- Troubleshooting of efiling errors
- Update assigned states reporting and acknowledging instructions in data base
- Run the auto efile process for monthly, quarterly and annual filing periods
- Create and submit Preregistration files for MI & PA
- Submit HI client access requests
- Process EFTPS for new clients
- Process SSN Verification
- Review and approve/deny ACH Applications and Change Requests
- Verify ACH Transactions for direct deposits, taxes, child support and client billing charges
- Attention to Detail: Ability to accurately process and review forms, transactions, and client data without errors.
- Technical Proficiency: Comfortable with electronic filing systems and databases, including W-2s, W-2Cs, 1099s, and various state reporting platforms. Familiarity with file uploads, troubleshooting efiling errors, and collaborating with programming teams is essential.
- Problem-Solving Skills: Capable of identifying issues with efiling, ACH transactions, or registration processes and finding efficient solutions.
- Time Management: Ability to handle multiple tasks simultaneously, ensuring timely submission of forms and reports for monthly, quarterly, and annual filing periods.
- Communication Skills: Strong verbal and written communication for coordinating with internal teams and addressing client needs, including submitting access requests and processing ACH applications.
- Knowledge of Tax Regulations: Familiarity with state and federal tax filing requirements, including WH & UI Forms, W-2s, 1099s, and EFTPS processes.
