Job role: Risk & Compliance Assistant

Hours: Monday to Friday, 09:00 - 17:00 (35 hours per week)

Role overview

Introduction to the role:

You will be at the forefront of the firm's compliance and risk operations and will make a daily impact to the firm's performance and ongoing success. You will be a key member of the Risk & Compliance Department working with colleagues who specialise in regulatory compliance, audit, data protection, supply chain, quality management and much more.

The Risk & Compliance Assistant role will play a key part in the continued success of this team as they would analyse and investigate key risk and compliance issues, review against our policies and work with our people to improve standards and achieve consistent quality and regulatory compliance.

Key responsibilities:
  • Acknowledging potential circumstances that might result in a professional indemnity claim against the firm and escalating accordingly.
  • Logging and maintaining a record of all potential claims, extracting relevant information as stipulated by the Director of Compliance and Risk and ensuring all data fields are populated within the claims log.
  • Communicating with appropriate individuals within the firm to ensure the Claims log is kept up to date and escalating matters which require attention to the Head of Risk and Compliance.
  • Communicating with Insurers and Brokers where general updates are requested or necessary.
  • Maintaining the Small Claims Bordereaux, submitting this to Insurers and Brokers at timely intervals and escalating matters which require attention to the Head of Risk and Compliance.
  • Ensuring the need for data retention is considered in relation to claims and ensuring compliance with the procedure to preserve the information required.
  • Acknowledging complaints that have been referred to the Risk & Compliance team and providing high level advice on how to follow the complaints procedure.
  • Logging and maintaining a record of all complaints, extracting relevant information as stipulated by the Director of Compliance and Risk and ensuring all data fields are populated within the complaints log.
  • Monitoring and liaising with the firm as to the progress of complaint responses, to ensure deadlines are being met and escalating matters which require attention to the Head of Risk & Compliance.
  • Identifying where data breaches have occurred, escalating the breach to the Head of Data Protection and referring the firm to the policies and procedures that set out the immediate action necessary.
  • Considering any exposure the data breach might create for the firm and escalating this to the Head of Risk and Compliance.
  • Monitoring the Risk and Compliance inbox and ensuring queries are allocated the appropriate Risk & Compliance team member in a timely way.
  • Assisting in logging the queries and responses received by the Risk & Compliance inbox.
  • Where able, responding to queries received by the Risk and Compliance inbox or drafting responses for consideration by the appropriate team member where support/supervision is required.
  • Assisting in the drafting and maintenance of Risk and Compliance policies and procedures.
  • Collating data and providing the Director of Risk and Compliance with reports and feedback that can be used to inform the firm of trends / work volumes and emerging risks.
What are we looking for:

Important criteria:
  • Experience of working in a regulated environment, preferably with knowledge of the Solicitors Regulation Authority and its Codes of Conduct.
  • Strong organisational and communication skills.
  • Proficient in Microsoft word, PowerPoint and excel.
  • Adept at problem solving and assistance in finding commercial resolutions.
  • Good sense of teamwork with the ability to work independently and collaboratively when required
