Purpose:

We have a new position available as a Supplier Onboarding & Compliance Specialist based in Chicago, US due company growth and new opportunities.

We act as an extension of our customer's procurement team by executing the end-to-end sourcing, supplier onboarding and contracting process for indirect categories of spend. We are focused on delivering an innovative and disruptive procurement solution to our customers to make managing non-strategic spend simpler, more transparent, and better value. We are a global team based in London, Singapore, Dubai, Krakow, India and Chicago.

Roles and Responsibilities:

We are looking for a new employee to join our newly formed team in the US to support with Supplier Onboarding and Compliance.

Your main role will be executing supplier onboarding process, including account set-up on the onboarding platform, triggering invitation to TPVs and continue communication with the vendors until the process is concluded and Supplier account set-up on ERP system. This process ensures that all required information about our TPVs are captured and necessary policies are agreed to.

On periodic and ah-hoc basis employee will be required to complete due diligence process against suppliers that have been added to Nomia Supplier platform. This will require contacting vendors to obtain relevant information outlined in due diligence guidelines as well as reporting on the process and raising any identified discrepancies.

Employee will be working closely with Buying team and Finance team as well as other internal teams when necessary. They will be reporting to the Supplier Onboarding & Compliance Team Leader based in Europe and be part of the Procurement Operations team.

As you will be part of the Operations newly formed team in the US you might be requested to support the local procurement specialists in processing orders to suppliers and respond to their questions about requests.

We are looking for a detail-oriented professional who is comfortable with performing standard processes as well as being involved in creative team activities. Albeit to perform well in this role employee must be able to understand the idea behind standardisation and feel comfortable with following outlined processes, creative thinking and proactive attitude is a must due to the two-fold nature of the team.

Employee must also be comfortable with inclusive and open brain-storming environment in which team ideas are discussed and reviewed resulting in decisions which may deviate or be contrary to one's inputs yet aim as maximum efficiency. At the same time employee will be encouraged to take active participation in those discussion, whilst ensuring a platform to share their ideas freely.

KEY RESPONSIBILITIES
• Executing supplier onboarding process
• Account set-up in on the onboarding platform
• Triggering invitation to TPVs and continues communication with the vendors until the process is concluded and Supplier account set-up on ERP system.
• General knowledge of procurement processes and their cross-implications
• Providing inputs for new process flow designs
• Performing and documenting process test and their outcomes
• When requested help with processing purchase orders and queries coming through the platform
• Identifying process gaps and suggesting possible workarounds
• Carrying out periodical due diligence of existing vendors with accordance to guidelines and reporting
• Attend meetings and update other colleagues on issues or concerns to share best practice and define processes
• Be able to work to deadlines and contracted KPIs - focus on quick turnaround and quality of the service
• Able to juggle numerous tasks at any one time
• Excellent organisational skills
• Ability to work at a fast pace but still ensuring a high standard

Person:

KNOWLEDGE:
• Understand the entire procurement processes from quote to invoice

SKILLS:
• Excellent interpersonal and communication skills and the ability to work effectively with colleagues, suppliers, and customers
• Able to lead work and interact with suppliers and customers based in different countries
• Ability to perform under SLAs
• Proficiency in Microsoft Office applications (MS Word, MS Excel, MS Power Point)

Qualifications:
• Minimum of 3 years' experience in a procurement or administration role within reselling procurement services
• Experience in managing suppliers' interactions
